Desktop Todo Feature Guide
Desktop Todo
Section titled “Desktop Todo”Overview
Section titled “Overview”Desktop Todo is the core task management feature of Yellow Note, designed for managing daily tasks and to-do items.
Core Features:
- Minimal desktop todo list — all items visible at a glance
- Supports reminders, recurrence, and countdowns
- Drag-to-reorder, one-click pin to top
- Smart recognition (one-line input with automatic time detection)
- Shown in the todo list — does not auto-disappear
- Completed items go to the Completed List (not an archive — archiving is a sticky note concept)
- Completed todos can be re-marked as incomplete (uncheck), or deleted
- Deleted todos cannot be recovered — export deleted data from the PC bottom-right menu as backup
- Supports category tags
Full Platform Support: Todo is available as a desktop plugin on Windows, Android, iOS, and HarmonyOS (iOS does not support transparency). On Windows, they appear as transparent floating windows embedded into the desktop. On mobile, they work as home screen widgets.
Three Todo Types
Section titled “Three Todo Types”When creating a todo, you must choose one of these three mutually exclusive types:
| Type | Description | Display Location |
|---|---|---|
| Todo | A standard to-do item | Todo list |
| Schedule | A todo with a start and end time | Todo list + Calendar / Schedule list |
| Countdown | A todo with a target date | Todo list (shows remaining days) + Countdown list |
👉 See: Core Concepts
Creating a Todo
Section titled “Creating a Todo”Windows Desktop Plugin:
- Click a blank area inside the desktop todo plugin
- Type the todo content and press Enter to save
App (Android / iOS / HarmonyOS):
- Open the App, go to the todo list, tap the
+button at the bottom-right, enter content, and save - Touch a blank area in the todo list to enter input mode directly
- On the home screen widget, tap the
+button to create a new todo
📱 See the App Operations Guide for more gestures
Smart One-Line Creation:
Type something like “Call the client tomorrow at 9 AM” into the input box. The system automatically detects:
- Task subject: Call the client
- Reminder time: Tomorrow at 9 AM
Editing and Completing
Section titled “Editing and Completing”Edit: Tap an existing todo to enter edit mode, where you can modify content, time, reminders, etc.
Complete: Tap the circle at the front of a todo to mark it as completed. Completed todos move to the Completed List and do not disappear from view automatically (you can hide them in settings).
Delete: Hover your mouse over a todo and click the delete button on the floating toolbar (PC), or swipe left (App) to delete.
Reminder Settings
Section titled “Reminder Settings”Set reminders on your todos so you never miss important tasks.
- Supports specific time-point reminders
- Supports recurring reminders (e.g., every morning at 9 AM)
- Reminders trigger system notifications
Path: Edit a todo → Set reminder time → Save
⚠️ Note: Sticky notes do not support reminders. Only todos and schedules support reminders.
Countdown
Section titled “Countdown”Set a target date to display the remaining days in the todo list.
- Example: Set a target date for “Mom’s birthday” — the list shows “18 days remaining”
- The todo also appears in the Countdown List
👉 See: Countdown Guide
Recurring Todos
Section titled “Recurring Todos”For periodic tasks (weekly meetings, monthly reports, annual birthdays, etc.), configure a recurrence rule. The system automatically generates a new todo when the rule triggers.
Important: A recurring todo is a rule — it does not directly generate todos on the calendar. Triggering depends on the client being active, to avoid generating excessive todos during long absences.
👉 See: Recurring Todo Guide
Pin to Top and Reorder
Section titled “Pin to Top and Reorder”- Pin to Top: Hover over a todo and click the pin button on the floating toolbar. Pinned todos appear first.
- Reorder: Drag the dot handle at the front of a todo to manually rearrange the order.
- Pinned and completed todos cannot be reordered.
Completed List (Archive)
Section titled “Completed List (Archive)”The todo “archive” is actually the Completed List. Todos automatically enter this list when marked as complete, allowing you to review your history.
Viewing the Completed List: Scroll to the bottom of the todo list and tap the archive entry (this is actually the Completed List).
PC Completed List bottom toolbar: You can export all todos (including deleted ones).
